A door check-in checklist for your next event

· 2 min read

Guests notice a slow door first. Most queues come from too little preparation, not too many people. Here is what to do before the day, on the day, and when something goes wrong.

The week before

  • Decide how many scanners you need. One phone handles a steady stream of people. A big rush needs more than one entry point.
  • Tell buyers what to bring. One line in your event description is enough: bring your ticket, on your phone or printed.
  • Test it once. Buy a ticket yourself, then scan it. Problems are cheap to fix now.

On the day, before doors

  • Charge every phone and bring a charger or a spare.
  • Check the signal at the entrance. GATE98 checks each ticket with our servers, so you need mobile data or Wi-Fi where people queue. Test it at the door, not in the office.
  • Open your event in the app and allow camera access.
  • Brief your team. Everyone should know how to scan, what a valid result looks like, and who to ask when something is odd.

At the door

  • Ask guests to have their ticket ready before they reach you.
  • Scan, read the result, wave them through. The result shows the buyer's name and ticket type, so you can check it is the right ticket.
  • Keep the queue moving. If a ticket needs sorting out, step that guest aside.

When something goes wrong

  • A guest lost their tickets. Find their order by name or email in the app and resend the tickets.
  • The name or email is wrong. Fix it on the order, then resend.
  • A ticket does not scan. It may have been used already, or refunded. A ticket checks in only once, and a refunded ticket is no longer valid.
  • A guest wants a refund. Decide how you will handle this before the day. You can refund single tickets from the order in the app. Our Refund Policy explains what buyers are owed if an event changes.

After the doors close

Open Analytics to compare check-ins with tickets sold. It shows how many people bought a ticket and did not come, which helps you plan the next event.

Our guides cover each step: scanning tickets, orders and refunds and your numbers.
